The Sales Leads Tracker module gives you a structured way to manage your entire sales cycle, from the moment a lead is created through to a completed sale. It provides a centralised view of your sales pipeline, with tools to assign leads, track progress, log activity, and report on performance across your team.
What you can do
View and manage all sales leads in your pipeline in one place.
Create new leads manually or receive them from connected sources.
Assign leads to individual sales team members.
Move leads through defined stages of your sales pipeline.
Log notes, calls, and interactions against each lead.
Set follow-up tasks and reminders for outstanding leads.
Filter and search the pipeline by stage, assignee, site, date, and status.
Track conversion rates and pipeline performance using built-in reports.
Link leads to customer profiles in the Single Customer View (SCV) for full context.
The sales pipeline
The pipeline view gives you a complete picture of where every lead sits in your sales process. Leads are organised by stage. For example, New Enquiry, Proposal Sent, Negotiation, and Completed, so your team can see at a glance what needs action and what is progressing well.
Each lead card shows key information including the lead name, assigned team member, current stage, and last activity date. You can move a lead to the next stage as it progresses, keeping the pipeline up to date.
đ Note: Pipeline stages are configurable to match your sales process. Contact your Acteol account manager to set up or adjust the stages available for your instance.
Managing individual leads
Opening an individual lead gives you a full view of that lead's activity and details. From the lead record you can:
View the lead's contact details and any linked SCV profile.
See the full activity log, including notes, calls, emails, and status changes.
Add a new note or log a call or meeting.
Update the lead's stage and status.
Assign or reassign the lead to a team member.
Set a follow-up task with a due date and reminder.
Record the outcome of the lead once it is won, lost, or cancelled.
đ¤ Tip: Keep the activity log up to date on every lead so that any team member can pick up a lead and immediately understand the history of interactions and what the next step is.
Lead sources
Leads can enter the Sales Leads Tracker from several sources:
Manual creation: A team member creates a lead directly in the module, for example following a phone enquiry or a trade show conversation.
Web enquiry forms: Enquiries submitted via a form on your website are automatically created as leads in the tracker.
Feedback and Enquiries module: Sales-related enquiries received through the Feedback and Enquiries module can be escalated and created as leads in the Sales Leads Tracker.
Imported data: Leads can be imported in bulk using the Import module from an external data source.
Reporting on pipeline performance
The Sales Leads Tracker includes built-in reporting to help you understand how your pipeline is performing. Key metrics available include:
Total leads by stage and status.
Conversion rate from enquiry to completed sale.
Average time to progress through each pipeline stage.
Lead volume by source.
Performance breakdown by assignee and site.
Won and lost lead trends over a selected date range.
Use reporting to identify where leads are stalling in the pipeline, which team members and sites are converting at the highest rate, and which lead sources are generating the most value.
