Manage campaign approvals

The new campaign builder includes a refreshed approval workflow with in-product collaboration, notifications, and status tracking for both approvers and standard users.

The new campaign builder includes a refreshed approval workflow that lets colleagues collaborate directly on campaigns. Approvers and standard users can exchange feedback, track decisions, and see a full history of the approval process, all without leaving the platform.

Approval roles

There are two approval roles, configured at the user account level:

  • Can approve or reject campaigns submitted by others.

  • Accesses the workflow via Manage Approvals on any campaign awaiting review.

Standard user

  • Can create and submit campaigns for approval but cannot approve their own work.

  • Tracks the status of submitted campaigns via Track Approvals.


The approval workflow

1. Create and submit the campaign

Once your campaign is ready, submit it for approval.

2. Approver notification

When you submit a campaign, the approver receives an in-platform notification with a direct link to the campaign. Clicking the link takes them to the relevant tab in Campaign Overview, with the list filtered to show that campaign.

3. Review, decide and discuss

The approver opens the campaign, clicks the three-dot menu (⋮), and selects Manage Approvals. From the modal, they can:

  • Approve: the campaign is cleared to send. If the scheduled send date has not passed, it sends at the scheduled time. If approval comes after the scheduled date, an immediate send is triggered instead.

  • Reject: the campaign is marked as rejected and stays in that state until the approver actively changes the status.

  • I will decide later: changes the campaign status to Reviewed.

  • Campaign Discussion: A discussion panel is available to both approvers and standard users throughout the workflow. It opens as a side panel alongside the campaign list view:

    • Final approvers access it via Manage Approvals.

    • Standard users access it via Track Approvals.

The panel is a timestamped chat thread where both parties can leave free-text messages. Status changes, approvals, rejections, and deferred decisions, appear inline as system entries, so both parties have a clear history of what happened and when.

5. Notifications to the standard user

You receive an in-platform notification whenever the approver takes action or leaves a comment:

  • Campaign approved.

  • Campaign rejected.

  • New comment added in Campaign Discussion.


After a rejection

There is no formal resubmit action. To restart the process after a rejection:

  1. Make the required changes to the campaign.

  2. Leave a comment in Campaign Discussion to let the approver know the work is done.

  3. The approver is notified of your comment, returns to Manage Approvals, and updates the campaign status.

📌 Note: The campaign remains in a rejected state until the approver actively changes the status.
